Organizational Setting and Reporting Relationship

The position of Operations Assistant is assigned to the Agriculture, Food, Nature, and Rural Development Sector Office (SG-AFNR) within the Sectors Group (SG). You will be based at our Headquarters in Manila, Philippines.

You will report to the designated International Staff and Senior National Staff.

Your Role

As Operations Assistant you will provide administrative support to SG-AFNR activities. The incumbent will provide administrative support in project administration, project processing activities related to loans and Technical Assistance (TA), and database management.

You will:

● Manage correspondences and documents for the supervisor, compose routine letters independently, review documents before supervisor approval, handle incoming mail, ensure timely outgoing correspondence, and maintain a filing system for documents and database within the team.

● Ensure the effective coordination of supervisor’s schedule by maintaining calendar and arranging appointments, meetings, travel, and accommodation as specified by the supervisor and in accordance with ADB procedures.

● Ensure accurate updating of event’s database, including knowledge dissemination activities.

● Support the preparation of necessary loan/TA documents and processing of these documents in accordance with ADB quality and procedures.

● Support the preparation and administration of TAs and/or projects for the selection process of consultants, processing of claims, contract variations, internal memos and preparation of TA and Project Completion Reports, back-to-office reports, under the guidance of the international staff and/or project officer.

● Assist the international staff in project processing and implementation, including administrative support for project documents (such as Report and Recommendation of the President, project/program concept notes, Technical Assistance Reports, Technical Assistance Reports, and project implementation memos and documents), and logistical support for project meetings and missions.

● Provide back-up support to the Senior Operations Assistant in the latter’s absence or relieve other operations assistant, as necessary.

● Perform other duties that may be assigned as reflected in the incumbent’s workplan.

Qualifications

You will need:

· Bachelor’s degree in finance, business administration, public administration, or other fields combined with relevant experience.

· At least 5 years relevant professional experience in multilateral organizations.

· Advanced computer skills with sound knowledge of common word-processing, spreadsheets, and proficiency with computer-based applications.

· Good interpersonal and cross-cultural skills with ability to liaise and work effectively with individuals from different professional and cultural background.

· Demonstrable experience in working across multiple teams and organizing events

· Excellent oral and written communication skills in English

Additional Information

This is a fixed term appointment with option to renew for an initial period of 3 years following Section 3.1 (b) of Administrative Order No. 2.01 (“Recruitment and Appointment’). This appointment is not convertible to a regular appointment. It may be extended on an exceptional basis for a further fixed period at the option of ADB. This appointment is open to internal and external applicants.

At the end of the initial period, ADB, as its discretion may: (a) renew a fixed term appointment or assignment, or (b) not renew a fixed term appointment.

This opening is a local staff position. It is open only to nationals and residents of Philippines.
